Need details on the booking fields? To understand all the customization options available in the booking file, consult our guide: Add and Manage Reservations with the New Window.
Modifying a Reservation
Adjust existing bookings to accommodate changes in party size, time, or table preference.
Find the reservation in the Reservation List or on the Floor Plan.
Double-click on the guest's name to open the reservation details.
Once the file is open, you can directly modify any reservation details (such as the time, date, or assigned table) or update guest information like phone numbers and emails.
Click Save to confirm the update.
Cancelling a Reservation
Remove reservations to keep your availability live and accurate for new guests.
Locate the reservation from your list or select the specific table on the Floor Plan to which the reservation is assigned.
Click the Status icon to open the list of statuses.
-
Choose the status that best fits the situation:
Cancellation: Use this if the guest contacted you in advance to cancel.
No-Show: Use this if the guest failed to arrive for their reservation.
Both statuses will automatically remove the guest from your active list and move them to the History section, immediately freeing up the table for new reservations.
Pro tip: Use the reservation or guest note to provide extra context for the cancellation (e.g., "Guest called to reschedule for next week" or "Flight delayed"). This helps keep your business reporting accurate and provides context for future visits.
Best Practices for Reservation Management
Always Assign a Table: To ensure your real-time availability is 100% accurate, make it a habit to assign every reservation to a specific table. While the system allows unassigned bookings, assigned tables provide the most reliable view of your remaining capacity.
Check the History Tab: If a booking was cancelled in error, you can view the details or restore it by clicking the History tab at the top of the sidebar.
Leave Internal Notes: Use the notes field during modifications (e.g., "Moved to booth per guest request") so your team stays informed.
Adding a Walk-in? If a guest arrives without a booking, you can quickly add them by clicking the + Waitlist button or seating them directly at an open table. Learn more here.
