Efficient floor management is the backbone of a smooth service. By assigning staff to specific sections directly on your floor plan, you create a visual map that helps your team stay organized and balances the workload among servers.
With the Libro Floor Plan, you can manage your staff in real-time, use color-coding for instant recognition, and monitor server rotation with automated timers—all from a single, intuitive interface.

Setting Up Your Staff
Before you can assign sections, you need to ensure your team is in the system. You can manage staff through the Back Office for long-term setup or directly from the floor plan for quick updates.
Step 1: Create a New Staff Member
Navigate to the Floor Plan view on your dashboard.
Click the Servers icon (bottom right corner) to open the staff management drawer.
In the Available Staff section, click the + Add Staff button.

Enter the server's name and details.
Note: If you have Staff Codes enabled in your Back Office, you can assign unique pins and permissions here.
Important: Click the color icon next to the name to assign a specific color to that server. This color will outline their assigned tables on the map.
Assigning Waiters to Sections
Once your staff is created, you can move them into "Active" status for the current shift and assign their tables.
Step 1: Move Staff to "Assigned"
Open the Servers drawer.
Locate the waiter under Available Staff and click the + (plus) icon. They will now appear under Assigned Staff, meaning they are active for the current service (e.g., Lunch or Dinner).
Step 2: Assign Sections
Select the server's name in the Assigned Staff list.
On the floor plan, click the tables you wish to include in their section.
Click the Assign arrow icon next to the server's name. The selected tables will now be highlighted with that server's specific color.
Understanding Staff Statistics and Rotation
The Assigned Staff drawer provides real-time data to help you manage your floor with precision.
The Server Stats Breakdown
When you look at a server in the list, you will see a string of three numbers (e.g., 0 · 43 · 43). These metrics represent:
Current Guests: The first number shows guests currently seated in that server's section.
Allocated Guests: The middle number shows the total guests assigned to this server for the entire shift, including upcoming reservations.
Total Guests: The final number is the cumulative total of guests handled or scheduled for that service period.
Summary View: By hovering over or selecting the server, you can also see the specific number of Parties and Tables currently under their care.
Using Server Timers for Perfect Rotation
Next to each server's name, the system displays a timer (e.g., 52m or 5m).
What it tracks: This indicates the time elapsed since their last reservation was seated.
How to use it: Hostesses can quickly determine which server should be assigned the next reservation by picking the one with the longest elapsed time, ensuring a fair rotation.
Modifying or Unassigning a Section
Service is unpredictable; your floor plan shouldn't be. You can adjust assignments in seconds:
To Edit a Section: Click the Pencil (Edit) icon next to the server’s name. Select or deselect tables on the floor plan, then save.
To Unassign a Server: Click the - (minus) icon next to the server's name in the Assigned list. This removes them from the current shift and returns them to the "Available" pool.
To Change Colors: Click the color square next to a name at any time to update the visual map.
Best Practices for Effective Management
Color Consistency: Try to keep server colors consistent week-to-week so the team can identify their sections at a glance.
Pre-Shift Setup: Assign your "Assigned Staff" 15 minutes before service begins so the host team is ready the moment the doors open.
Monitor Wrokload: During a rush, use the timers to avoid "double-seating" a server, which can lead to a drop in service quality. Check the Total Guests count to ensure one server isn't being overwhelmed with large parties while another has small groups.
