The advanced waitlist allows you to manage walk-ins effectively, while letting your guests view their estimated wait time directly from their mobile device, and receive an alert via SMS when their table is ready. An integration with Google is also available on request, which allows your clients to add themselves to the waitlist from the Join Waitlist button on your business page.
This feature can only be activated if you are using the table inventory. For more information or to activate the advanced waitlist with Google integration, please contact us at support@librorez.com.
Managing the waitlist from your dashboard
To add a new walk-in:
- Click on the walk-in button at the top right of your dashboard
- In the pop-up, select the number of people, the experience (only available when the experiences are activated in your system) and enter the client's information
- Click Save
Note: The system will automatically calculate the estimated wait time of the guest. It is possible to override this estimated wait time if you believe it will take longer for a table to be available. Simply click on the estimated wait time to modify it. Your guests will be able to see this wait time on the web portal.
The walk-in will be added to the Waiting drawer. You will be able to view the time when the walk-in was added, the remaining wait time, how long the guest has been waiting and the quoted wait time given the guest.
To view the legend, simply place your mouse over the times:
Calculation of the estimated wait time by the system
To calculate the wait time, the system takes into consideration all tables available online and internally on your floor plan. For example, if your tables on the terrasse are unavailable for online reservations but available internally, the system will consider those tables to calculate the wait time.
If you wish for a table to not be available for walk-ins, make the table unavailable internally (in red). You can make this change in the settings of the table, click here to learn how to do so.
SMS sent to the guests
Once the walk-in is created, your guest will receive an SMS confirming they have been added to the waitlist. A link is provided in this SMS, which allows access the web portal to view the following information:
- Name, party size and time they have been added to the waitlist
- The remaining wait time (updated in real-time)
- The option to leave the waitlist


When you wish to notify your guests to make their way to the restaurant, follow the steps below:
- Do a right-click on the walk-in in the list
- A pop-up window will appear with choices of preset SMS, select Send a table ready notification
- The SMS will be sent to the guest, you can view the SMS by opening the chat window of this reservation
Add Message Inside the Web Portal
You have the option to add a personalized message inside the web portal. This allows you to notify your guests of specific information.
To add a message:
- Access your Libro Back Office
- From My Restaurants, click on Settings
- Go to the Messages option
- Under the section 'Messages inside Advanced Waitlist Web Portal', click on "Add a message"
Your message will be displayed in the web portal, as follow:
Google Integration
This is an optional feature that you have the option to activate, allowing your guests to add themselves to the waitlist from the Google page. Your clients will be able to see how many parties are ahead of them, as well as the estimated wait time. Once they add themselves to the waitlist, they will receive the SMS from Libro with the link to the web portal.
