Learn how to access and export a detailed, line-by-line list of all your reservations for backup, custom analysis, or integration with other systems.
The Reservations report is your primary tool for exporting raw reservation data. While other reports (like the Reservations Summary) provide high-level analysis and KPIs, the Bookings report gives you the complete, detailed data for every single booking in a given period.
At Libro, we believe you own your business data. This report is designed to give you direct access to that data whenever you need it.
Use this report to:
- Generate a complete, line-by-line list of all past or future reservations.
- Create a local backup of your booking history for your records.
- Perform deep, custom analysis in external tools like Excel or Google Sheets.
- Import your reservation data into other third-party systems (e.g., marketing or analytics software).
Bookings Report vs. Reservations Summary
This report is often used alongside the Reservations Summary. Here’s how they differ:
- Reservations Summary: This is your analytical report. It's designed to help you track performance, compare locations, and understand KPIs (like no-show rates and marketing sources) at a glance.
- Bookings Report: This is your raw data report. It provides a detailed list of individual reservations, perfect for when you need the complete dataset to work with, not just the high-level totals.
How to Access and Export Your Report
To access and export your data, you must be logged into Libro with your Admin username.
- Access your Libro Back-Office.
- Navigate to the Reports tab in the main menu, then select Bookings from the sub-menu.
- Apply Your Filters: Use the "Filters" section to select the exact data you need.
- Date Range: You can use the quick-select options (like Today, This Week, Last Month's Summary) or set a custom date range.
- Filter by Date Type: This is a key setting.
- Booking time between: Use this to find reservations based on the visit date (e.g., all reservations for next Friday).
- Booking received between: Use this to find reservations based on the creation date (e.g., all reservations that were booked yesterday, regardless of when the visit is).
- Key Filters: You can also refine your list by
Status(e.g., Confirmed, Arrived, Seated),Restaurant(s),Walter(Server), and more.
- Click Apply (located at the bottom of the filters section) to generate the report.
- Download Your Report: Click one of the export buttons to download the file.
Understanding Your Report Data: Source vs. Referer
When you export your Bookings report, you will likely see columns for both "Source" and "Referer." While both relate to where your guest came from, they provide different types of information.
- Source: This is the clean, high-level channel of the reservation. It's a categorized label, making it ideal for marketing analysis.

- Referrer: This is the specific, technical URL (web link) the guest was on immediately before they landed on your booking page. This is more for deep, granular analysis or technical debugging.
Important Notes on Exporting
Please review these critical points before downloading your file.
1. File Format Limits (Based on Size) The file format you can download depends on the number of reservations in your report.
- Under 2,500 Lines: You can download the report as Export PDF, Export XLS, or Export CSV.
- Over 2,500 Lines: For large data sets, you will only be able to download the document as a CSV file. This format is standard for large exports and can be opened by any spreadsheet program (like Excel or Google Sheets).
2. You Must Accept Cookies To download your file successfully, your browser must be set to accept cookies for the Libro site. If you click an export button and the download does not start, please check your browser's cookie or privacy settings.
