Automated reminders are a powerful tool to reduce no-shows by ensuring your guests stay informed about their upcoming bookings. These reminders are sent only to guests who have not yet confirmed their reservation. If a guest confirms their booking, reminder delivery is temporarily paused for 5 hours, but any remaining scheduled reminders will still be sent after that window.
How Reminders Work
Libro delivers reminders via email or SMS, depending on the guest's communication preference.
- Relative Timing: Reminders are now sent based on the specific time of the reservation, rather than a fixed time of day (like 10:00 AM).
- Timezone Aware: Delivery respects your restaurant’s specific timezone settings.
- Quiet Hours: To provide a better guest experience, quiet hours apply to day-based reminders (7 days, 5 days, 2 days, 1 day) and suppress delivery between 11:00 PM and 8:00 AM. Hour-based reminders (12 hours, 4 hours, 2 hours) are exempt.
Configuring Your Main Reminder
By default, Libro sends the primary reminder 1 day before the reservation. You can choose a different time interval for your primary reminder from the Libro Back Office.
- Navigate to Reservation Settings > Reservation Reminders.
- Locate the Send Reminder dropdown.
- Select your preferred interval from the following options:
- 7 days before
- 5 days before
- 2 days before
- 1 day before (Default)
- 12 hours before
- 4 hours before
- 2 hours before
Adding Multiple Reminders
Restaurants on the Signature Plan can add follow-up reminders to encourage last-minute confirmations.
Rules for Additional Reminders
- Maximum: You can add up to 3 additional reminders (4 total).
- Intervals: Additional reminders must be set for a shorter interval than the main reminder.
- Example: If your main reminder is set for 1 day before, your follow-up could be set for 4 hours before.
- Availability: If you have already used every shorter interval, or if your main reminder is set to the shortest possible setting (2 hours), no more additional reminders will be available.
How to Add a Follow-Up
- On the Reservation Reminders page, click Add Reminder.
- Select a shorter time interval from the dropdown menu.
- Click Save at the bottom of the page.
